Overview
The Pay, Employment, Leave (3 of 4) screen has 3 categories :
- Pay Details
- Pay Basis
- Pay Calendar
- Employment Terms
- Employment Basis
- Public Holiday Group
- Leave Details
- Balances & Loading
Each of these have subsequent screens, indicated by the > symbol at the end of each row.
The details appearing on each screen have been pre-populated from the Employee Defaults that you setup initially during the BiYP Business Setup.
If you are happy with the defaults, then all you need to do is tap the Next button to proceed to the final screen called Bank,Tax,Super (4 of 4).
You can change these defaults as necessary by following the steps below:
Step 1a
Tap Pay Basis to take you to another screen which has 3 sections:
- Hourly Rate
- Default Hours Per Week
- Year To Date (Ytd) Pay Balances
Step 1b
Tap the Hourly Rate if you wish to change the default amount and enter the rate you wish to pay this employee.
This is known at the Ordinary Times Earnings (OTE) for this employee and will be the Default Pay Item used in each Pay Run.
If this employee is based on an Annual Salary, simply divide the annual amount by 1,976 to determine the Hourly Rate.
Example: The employee is on an annual salary of $100,000 so their hourly rate would be $100,000/1,976 = $50.607287
The annual hours is based on 38 hours per week X 52 = 1,976.
Note: Your hourly rate can be up to six numbers after the decimal point.
Step 1c
Tap the Default Hours Per Week if you need to update the default amount. If the employee you are adding is Full Time, the hours per week is commonly 38.
Default Hours Per Week can be up to four numbers after the decimal point.
For each Pay Run, you can adjust the ordinary hours you wish to pay this employee and add additional Pay Items such as:
- Penalties & Loadings
- Overtime
- Public Holiday Rates
- Allowances
- Deductions
- Reimbursements
- Leave

Step 1d
Tap the Year To Date Pay Balance button which will take you to another screen where you can tap the toggle from 'Off' to 'On' which will display more information.
Step 1e
Select the Date of Last Payment using the picker which is the last date you paid your employee prior to using the BiYP App in the current Financial Year (1 Jul 2019 to 30 June)
Step 1f
Tap the relevant Pay Items below and enter the Year to Date amounts from your previous payroll system:
- Gross Earnings
- Allowances
- Deductions
- Superannuation
- Tax Withheld (PAYG)
Step 1g
Tap Done on the Ytd Balances screen in the top right corner once you have entered the amounts above.
Step 1h
Tap Done on the Pay Basis screen in the top right corner once you have entered the amounts above.
Step 1i
Tap the default Pay Calendar and select another from the picker which was created when you setup the business. If you wish to use a Pay Calendar that is not available in the picker, see the article Add New Pay Calendar.
Step 2a
Tap the default Employment Basis and choose one of the following 5 options from the picker:
- Full Time
- Part Time
- Casual
- Labour Hire
- Super Income Stream
Step 2b
Tap the Public Holiday Group default setting and choose one of the following 8 options from the picker:
- ACT
- NSW
- NT
- QLD
- SA
- TAS
- VIC
- WA
Step 3a
Tap the Balances & Loading row which will take you to another screen which is divided into 2 categories:
- Leave Balances
- Leave Loading
Tap each Leave Balance below and enter the Year to Date balance from your previous payroll system:
- Annual Leave
- Personal/Carer's Leave
- Long Service Leave
Step 3b
Tap Eligible for Leave Loading if the employee is eligible to receive an additional % on top of their ordinary times earnings when they take leave (typically 17.5%).
